FaultPilot (operated by FaultPilot Pty Ltd, ABN pending, Perth, Western Australia) is a maintenance workflow application for mining and industrial crews. This policy explains how we collect, use, store, and protect your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using FaultPilot, you consent to the collection and use of your information as described in this policy.
We collect personal information you provide when creating an account, including your name, email address, job title, and organisation. We also collect fault and diagnostic data you enter while using the app, communications you send through the platform, device identifiers and usage logs for app performance and security monitoring, and technical documentation uploaded by your organisation for processing within the platform.
We use your personal information to provide, maintain, and improve the FaultPilot service, to authenticate your identity and manage your account, to send operational notifications relevant to your workflow, to respond to support requests, and to analyse aggregated usage patterns to improve the product. We do not sell, rent, or trade your personal information to third parties. We do not use your personal information or uploaded content for marketing purposes without your explicit consent.
FaultPilot includes AI powered diagnostic features. When your organisation uploads technical documentation, that content is processed (including text extraction, indexing, and embedding) solely within your organisation's isolated environment to enable search and retrieval. AI generated outputs are derived from your organisation's uploaded content and are not shared across organisations. We do not use your uploaded documentation or AI interaction data to train, fine tune, or improve general purpose AI models. AI processing is performed using third party infrastructure providers who are bound by data processing agreements.
Your data is stored on secure cloud infrastructure in Australia and the United States. We apply industry standard encryption in transit (TLS 1.2+) and at rest (AES-256). Access to production systems is restricted to authorised personnel using role based access controls. We conduct regular security reviews and maintain audit logs of system access. Each organisation's data is logically isolated and is not accessible by other organisations on the platform.
Some of our infrastructure providers are located in the United States. Where personal information is transferred outside Australia, we take reasonable steps to ensure it is protected in accordance with the APPs. Our infrastructure providers are subject to data processing agreements that require them to handle your data in a manner consistent with Australian privacy law.
We do not sell or rent your personal information. We may share data with service providers who help us operate the platform (including cloud hosting, analytics, and AI processing providers), subject to confidentiality and data processing agreements. We may disclose information if required or authorised by Australian law, including in response to a court order, subpoena, or regulatory request.
We retain your personal information and account data for the duration of your organisation's subscription and for a period of 90 days following termination to allow for data export. After that period, personal information and uploaded content are permanently deleted from our systems, including backups, within a further 90 days. Aggregated, anonymised usage data that cannot be used to identify individuals may be retained indefinitely for product improvement purposes.
Under the Australian Privacy Principles, you have the right to request access to the personal information we hold about you, request correction of inaccurate or incomplete personal information, request deletion of your personal information (subject to any legal obligations requiring us to retain it), and lodge a complaint if you believe we have breached the APPs. To exercise any of these rights, contact us at admin@faultpilot.com.au. We will acknowledge your request within 7 days and respond substantively within 30 days.
The FaultPilot web app uses essential cookies for authentication and session management. We use analytics tools (Vercel Analytics, PostHog) to understand usage patterns and improve the service. Analytics data is collected in aggregated form and does not include the content of your uploaded documentation or diagnostic data. You can opt out of non-essential analytics tracking via the consent banner.
FaultPilot is not directed at children under 16. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected information from a child under 16, we will take steps to delete that information promptly.
We may update this policy from time to time. We will notify users of material changes via the app or email at least 14 days before the changes take effect. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
If you are not satisfied with our handling of your personal information, you may lodge a complaint with us at admin@faultpilot.com.au. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
